Solution overview
The KSeF solution integrates Microsoft Dynamics 365 and older versions—Dynamics AX—with the National e-Invoice System (Krajowy System e-Faktur). Thanks to KSeF functionality, invoices issued and received in the system can be automatically validated for compliance with the invoice structure required by KSeF. The solution also enables the creation of structured invoices, conversion of other invoice types into XML format compliant with FA(3), and automatic sending of documents to KSeF.
Why is it worth implementing the KSeF solution?
Starting February 1, 2026, businesses whose gross sales in 2025 exceeded PLN 200 million will be required to issue invoices in a standardized format and register them in the National e-Invoicing System (KSeF) – a government platform for issuing, receiving, and storing structured invoices.
Important KSeF rollout dates:
- From February 1, 2026 – for taxpayers with gross sales over PLN 200 million in 2025.
- From April 1, 2026 – for all other businesses (including VAT-exempt).
- From January 1, 2027 – exception: smallest taxpayers with monthly gross sales ≤ PLN 10,000.
The Ministry of Finance allows these invoices to be issued in the taxpayer’s financial-accounting system. However, the system must support structured invoices in XML format, compliant with the FA(3) logical structure published in the Central Repository of Electronic Document Templates (CRWDE) on the ePUAP platform.
How is a KSeF e-invoice different from a “regular” e-invoice?
A KSeF e-invoice must be:
- Issued in XML format compliant with FA(3),
- Sent to KSeF to obtain “issued” status,
- Marked with a unique KSeF number (KSeF-ID) assigned by the system,
- Stored centrally by the tax administration for 10 years (no archiving required by the company).
